Returning to a Physical Venue
After almost two years of hosting all-virtual events, a CRM provider was anxious to bring back its in-person audience for a truly immersive event experience. Knowing the event would need some adjustments to accommodate ongoing COVID-19 concerns, the team decided to integrate its own safety solution with RainFocus to keep participant records confidential and ensure the hybrid user conference would run smoothly and safely.
On-Site Health Verification
While the majority of the event’s attendees were virtual, 500 of the company’s most valued users were invited to join on-site for an exclusive experience. Before the event, the host company worked with RainFocus to set up an Attendee Portal where attendees could submit their COVID-19 vaccination and test information. Once each attendee’s health information was verified by the safety solution, their RainFocus profile was given a verification attribute. This attribute allowed the CRM provider to govern which attendees would receive their badge.
When attendees arrived, they were checked in by staff at one of RainFocus’ socially distanced kiosks. If their record showed that they had completed all of their health requirements, they were admitted into the event. If their health status was in question, the CRM provider’s on-site staff could easily pull up the attendee’s record in the RainFocus platform to verify the requirements were met or take other actions as needed.

Attendee, Speaker, and Exhibitor Management in One
In addition using RainFocus to confirm attendees’ health information, the CRM provider leveraged RainFocus to create similar tasks for their in-person speakers and exhibitors.This setup allowed their team to increase the safety of everyone who was a part of their on-site experience.
Integrated In-Person and Virtual Data
RainFocus offered the CRM provider a degree of flexibility that the team had never experienced before. By integrating with RainFocus, they could pass all of their attendee data back and forth between their CRM and marketing technologies, eliminating the need for any manual imports. This flexibility also gave the company full confidence if a pivot to a fully virtual event were needed, their data would seamlessly carry over.
